Location: Downtown Chicago


Start Date: ASAP


Schedule: Full-Time; Monday-Friday (3 days onsite)


Duration: Long-term Temporary, expected to last 12 months


Compensation: $40/hour


 


Our client, a large non-profit healthcare association, seeks a Senior Program Coordinator to assist their team in a new initiative focused on health equity. This role will directly support the Project Manager in managing and engaging the internal and external partners involved with this initiative.


 


RESPONSIBILITIES:


 


Coalition Engagement and Support (50%)



  • Assist the Project Manager in overseeing coalition activities.

  • Organize coalition meetings by scheduling, developing agendas, and providing meeting facilitation support. Maintain and distribute meeting notes, action items, and follow-up communications.

  • Support coalition committees, task forces, and workgroups.

  • Serve as the primary point of contact for coalition members, responding to inquiries, facilitating communication channels, and building strong relationships with partners to enhance collaboration.

  • Coordinate and monitor coalition work-plan activities, reinforcing efforts across strategy implementation and amplification.

  • Prepare and distribute resources, materials, and guidance documents to coalition members to ensure alignment with objectives.


 


Administrative and Communication Support (35%)



  • Serve as a resource for key program information related to digital strategy, community engagement, enrollment metrics, engagement metrics, media outputs, and amplifier outputs.

  • Represent the organization in internal communications and marketing meetings, as well as in external meetings with community partners and stakeholders.

  • Coordinates the scheduling, planning, implementation, and evaluation of virtual and in-person coalition events, speaking engagements, and activations.

  • Draft coalition communications, such as newsletters, progress updates, and reports.


 


Internal Collaboration (15%)



  • Lead coalition scheduling, documentation and meeting management, providing updates on key performance indicators, physician engagement, and digital strategy.

  • Establish objectives and set agendas for internal communications and strategy meetings.

  • Develop and execute evaluation plans in collaboration with internal stakeholders, resulting in an annual report.

  • Monitor project timelines, milestones, deliverables, and deadlines to ensure coalition goals are achieved on schedule. Support in the development and production of reports, meeting summaries, and partner tracking for the partnerships team.

  • Develop and maintain key project documentation, including project plans, status reports, risk registers, and activity tracking.


Required Qualifications :


  • Minimum of 5+ years’ experience focused on community engagement and communications or relevant field.

  • Prior experience in the field of health equity preferred.

  • Understanding of racial equity and diversity, equity, and inclusion (DEI) principles, strategies, and models required.

  • Polished interpersonal and communication skills to interact and build relationships with all levels of management and external stakeholders business partners.

  • Highly proficient at creating reports using PowerPoint presentations and written briefs; demonstrated proficiency with Salesforce a plus.

  • Demonstrated analytical, critical thinking, and presentation skills a plus.

  • Ability to manage multiple priorities and projects effectively.

  • Exceptional writing and communication skills

  • Prominent level of organization and attention to detail.
